Privacy policy
Draft: this policy has been prepared for review by a solicitor and may change before it is final.
This page explains what personal details Fan Queen collects when you use this website or apply to work with us, why we collect them, who we share them with, how long we keep them and the rights you have.
Who we are
Fan Queen. We are the “data controller” for the personal details described in this policy, which means we decide how and why they are used.
Questions about your details
Or use the form on our contact page.
What we collect
When you apply through the site
- Your first and last name, date of birth and country.
- Your WhatsApp number and email address, and a social media handle if you give one.
- Whether you already have a creator page and, if so, the platform, your username there and a rough subscriber count.
- The kinds of content you would consider creating. We ask this only so we can discuss what working together might look like. You can change your answer at any time and it never commits you to anything.
- Anything you write in the message box, and how you heard about us.
- The date and time you applied and the internet (IP) address the application was sent from.
When you use the contact form
- Your name, email address and message, plus the date, time and IP address.
When you contact us directly
- If you message us on WhatsApp, Instagram or by email, we hold whatever you send us and the contact details you use.
When you browse the site
- Our web server keeps short-lived technical logs (IP address, browser type and the pages requested) to keep the site secure. We do not use analytics or advertising trackers.
Why we use your details, and our legal grounds
- To read and reply to your application, arrange a first call and discuss working together. Legal ground: taking steps at your request before entering into a contract.
- To make sure we only work with adults. We check the date of birth you give and later ask for photo ID. Applications that show an age under 18 are rejected immediately and are not stored. Legal ground: our legitimate interest in running a lawful adults-only business, and our legal obligations.
- To reply to messages sent through the contact form or directly. Legal ground: our legitimate interest in answering enquiries.
- To protect the site from spam and abuse, using hidden bot traps, limits on how many submissions can be sent from one address, and server logs. Legal ground: our legitimate interest in security.
- To keep a record of applications we have turned down for a limited time, so we can answer follow-up questions and recognise repeat applications. Legal ground: our legitimate interests.
- To meet our legal obligations, for example responding to a lawful request from an authority or keeping records the law requires.
We do not make automated decisions about you that have legal or similarly significant effects. A real person reads every application. We never sell your details.
Who we share your details with
- Our email provider (Google (Gmail)). Notification emails about applications and messages go to our mailbox, and a confirmation email goes to you.
- Our hosting provider, Contabo GmbH, which provides the server this site runs on. Your details are stored in a database on that server.
- The platform your creator page runs on, only if you join us and only as needed to set up or run the page, as set out in your written agreement with us.
- Professional advisers and authorities, such as our accountants or lawyers, or where the law requires us to share information.
We never share your details with other creators, with subscribers or with advertisers.
Transfers outside the UK
Some of the providers above process data outside the UK, for example in the United States. Where that happens we rely on the UK’s adequacy regulations, including the UK Extension to the EU-US Data Privacy Framework where the provider is certified under it, or on contractual safeguards approved for use in the UK.
How long we keep your details
- Applications we turn down are deleted automatically six months after we mark them as turned down.
- Applications still in progress are kept while we are in touch with you. If an application does not go further, we mark it as turned down and the six-month rule applies.
- Creators who join us: we keep your details for as long as we work together and then for as long as we need them for legal, accounting and tax purposes (generally up to six years for financial records), after which they are deleted.
- Contact form messages are deleted automatically six months after they arrive.
- Copies in our mailbox of notification emails are deleted on the same timescales as the records above.
- Server logs are kept for 14 days. Backups of the database are kept for 14 days, so deleted details may remain in a backup for up to 14 days after deletion.
You can ask us to delete your details sooner at any time, and we will do so unless the law requires us to keep them.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal details we hold about you;
- ask us to correct details that are wrong or incomplete;
- ask us to delete your details;
- ask us to limit how we use your details, or object to our using them;
- receive the details you gave us in a portable format;
- withdraw consent, where we rely on consent, at any time.
To use any of these rights, contact us using the details above. We may need to confirm your identity first. We will reply within one month. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to deal with your concerns first.
Cookies and similar technology
This site does not use analytics, advertising or tracking cookies, which is why there is no cookie banner. Two things are stored in your browser only when needed:
- a strictly necessary login cookie for the private admin area, set only when the site owner logs in;
- your light or dark mode choice, saved in your browser’s local storage only when you click the switch in the header. You can remove it by clearing this site’s data in your browser.
Under 18s
This website and our services are for adults only. Do not apply or send us your details if you are under 18. We do not knowingly collect details from anyone under 18, and if we learn that we have, we delete them. If you believe a child has given us their details, please contact us.
How we protect your details
The site uses an encrypted connection (HTTPS). Applications and messages are stored in a database that only the site owner can access, through a password-protected admin area. The server is protected by a firewall and receives automatic security updates, and daily backups are kept on it.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. If the changes are significant we will say so on this page.
